The ones I've been to/organised have involved hiring a studio for 6-8 hrs. The attendees split the costs and if they so wish, bring along food and drink to share. There's normally a list up on the forum post of who's coming and what gear they're bringing and some may bring stuff on request if they have a lot to choose from or there's repetition of stuff amongst the group.
For those that want to, or feel comfortable, we took it in turns to play, explain our gear and then at the end, people got a chance to try the various stuff. Given the time frame, we've found that 10-14 people was about the right size group for everyone to get a turn and leave time to try things.
Some here have hired a pub back room instead of a rehearsal room. If people are drinking and eating at the place, that keeps the owners happy and allows for some price negotiation.
It's great meeting fellow forumites and trying stuff with your own gear/guitars that you might have overlooked or found hard to source. It can also be an opportunity for sales and trades as well.
