Charging expenses for a charidee gig

Fairly short notice gig. Someone else cancelled / let down the organisers so we're being the heroes! There is another band who have been elevated to headline status and we will do 45 minutes support. Now, it isn't very local, each of the five of us will have approx 60 to 70 mile round trips, maybe some car sharing - drums and PA supplied so that's a bit easier. Now, I have been offered expenses but no sense at all of how much ( several pointless emails on this so far) to ask for. I could be magnanimous and say none but I don't think I can say that on behalf of the whole band ( our drummer's van drinks diesel and there may be a baby sitter cost for the keyboardist). On the other hand I don't want to try to fleece a local charity. Any kind of formula for this kind of thing? I'm finding it a bit stressful!

I charge £30 expenses per band-member for charity and community events, and explain that individual band-members MAY want to donate their expenses at the event, but that's up to them.

I think you are fine and that is reasonable. If you are in doubt, ask yourself if the charity fund raiser employees get their petrol reimbursed? The answer is yes. As an analogy, I do a lot of work with Wooden Spoon Rugby charity....we always offer the player ambassadors expenses for golf days and so on, but never an appearance fee

Have to agree with all the above-You're making the charity money by playing so travel expenses are more than fair to claim-I wouldn't feel guilty about it.

Nearly forgot this. I sent him a message, after he had said okay to expenses, saying £100 ( 5 of us, travel, guitar strings, etc) and to let me know what he thought ( expecting either 'that's fine' or 'that seems a lot') . Had nothing back but since but have seen him re advertise for a band in that slot. Twat.
